Procurement Software Trends in 2026: What to Expect

Fabric procurement software connects the purchase request, supplier quotation, approval, purchase order, goods receipt and supplier invoice in one workflow. For garment manufacturers, it means you compare fabric quotes on landed cost and delivery (not just rate per metre), release POs that match the approved price, and catch short deliveries before you pay. It controls how you buy fabric. It does not replace the tools that calculate how much to buy (marker and consumption planning) or track rolls and dye lots (inventory).
Businesses using ZYNO Books cut accounting time by 70% and stay 100% ZATCA-compliant — automatically.
A ₹5 per metre typing error on a 3,000 metre fabric order adds ₹15,000 to a purchase order. A connected procurement workflow helps reduce manual re-entry, centralise supplier quotations and flag invoice mismatches before payment, so your fabric purchasing stays under control.
Want to see this on your own fabric POs? Book a procurement software demo and bring your last three fabric purchase orders. We will walk through them in the software.
Fabric procurement software is a purchasing system for garment and apparel manufacturers. It manages the commercial side of buying fabric and other materials: purchase requisitions, supplier RFQs, quotation comparison, approval workflows, purchase orders, goods receipt (GRN), invoice matching and procurement reports.
Think of it as the control layer between your merchandiser's requirement and your finance team's payment. Every step is recorded, linked and traceable, instead of living in email threads, WhatsApp approvals and separate Excel sheets.
Simplify supplier quotation comparisons, automate purchase approvals, reduce purchase order errors, and track goods receipts with connected procurement software built to improve purchasing control for garment manufacturers.
The numbers below are illustrative, not customer results. The patterns are common in any factory that buys fabric on spreadsheets.
You need 5,000 metres for a shirt order. Three suppliers respond:
| Comparison Criteria | Supplier A | Supplier B | Supplier C |
|---|---|---|---|
| Rate per Metre | ₹95 | ₹92 | ₹97 |
| Freight Charges | Included | ₹3/m extra | Included |
| Landed Cost per Metre | ₹95 | ₹95 | ₹97 |
| Total Cost (5,000 Metres) | ₹4,75,000 | ₹4,75,000 | ₹4,85,000 |
| Delivery Time | 12 Days | 20 Days | 10 Days |
| Payment Terms | 30 Days Credit | 50% Advance | 45 Days Credit |
Supplier B looks cheapest at ₹92 until freight is added: A and B then tie at ₹95/m landed. A delivers eight days sooner and offers 30 days' credit against B's 50% advance. Supplier C is the fastest and gives the longest credit, but costs ₹10,000 more than A on this order. The right pick depends on how urgently you need the fabric, your landed cost target and your cash flow. All figures are before GST.
With a connected RFQ workflow: Send one RFQ to several suppliers, compare every quote side by side, route the pick for approval and keep the decision on record. Your buyer chooses on total cost and delivery, and management can see why.
A manager approves 3,000 metres at ₹120/m (₹3,60,000). The buyer retypes the quote into a PO and enters ₹125. The PO is now ₹3,75,000, a ₹15,000 gap that nobody notices until the invoice arrives.
With quotation-to-PO conversion: The approved quotation converts straight into the purchase order. Nobody retypes the rate, so ₹120 stays ₹120.
One supplier moved its delivery date. Another sent a partial dispatch. The merchandiser calls procurement, procurement checks three email threads, and an hour disappears.
With one connected workflow: Requests, approvals, purchase orders and goods receipts sit in one place, so "where is the fabric?" is answered from the system, not from three email threads.
| Record | Quantity | Value at ₹100/m |
|---|---|---|
| Purchase Order | 5,000 m | ₹5,00,000 |
| Goods Receipt | 4,850 m | ₹4,85,000 |
| Supplier Invoice | 5,000 m | ₹5,00,000 |
That is ₹15,000 that needs to be reconciled before payment. The delivery may have been split or the receipt not fully recorded, so the invoice is not automatically wrong. With three-way matching, the invoice is checked against the purchase order and goods receipt, so the difference is flagged for review before you pay.
Record each delivery against its purchase order with goods receipt (GRN) management, so shortfalls show up the day the fabric arrives.
Landed cost is the total cost of getting fabric to your factory, ready to use. The quoted rate per metre is only the starting point.
| Cost Component | Examples | Why It Gets Missed |
|---|---|---|
| Fabric Rate | Price per metre, with unit and width stated | Quotes use different units or widths. |
| Freight and Handling | Transport, loading, unloading, and insurance | Some quotes include it, while others do not. |
| Duties and Other Charges | Customs duty and clearing charges on imported fabric | Added after the purchase order (PO) is placed. |
| Taxes | GST, treated as your finance team requires | Some quotes are compared before tax and some after. |
| Cost of Payment Terms | Advance payment against credit days | Terms are not priced into the comparison. |
| Short or Rejected Quantity | Metres paid for but not received or accepted | The invoice is for the full order. |
Effective cost per accepted metre = fabric purchase cost + freight + handling + duties and other charges \accepted metres received
Accepted metres matter. If you pay ₹5,00,000 for 5,000 m but only 4,850 m arrive and are accepted, your effective cost is ₹5,00,000 ÷ 4,850 ≈ ₹103.09 per metre, not ₹100.
Note: GST treatment depends on whether the tax is recoverable and on your finance team's costing policy. Rejected fabric and claims against a supplier may also need separate accounting treatment, so confirm both with finance.
Three habits keep landed cost under control:
For a step-by-step method of scoring offers, see our guide on how to compare supplier quotations.
Compare fabric supplier quotes, manage purchase approvals, track purchase orders, and identify invoice mismatches with ZYNO Procurement. Bring your purchasing process together in one connected workflow and make better buying decisions.
Buying for a garment factory is not the same as general purchasing. A few things matter more:
Procurement software holds the buying records. Style-wise consumption and roll-level stock sit in your planning tools or garment ERP.
If three or more of these sound familiar, your fabric buying needs a system:
Recognise your factory? The demo checklist below shows how to test any system on your own fabric purchases.
| Step | What Happens | What It Protects You From |
|---|---|---|
| 1. Purchase Request | Merchandiser raises a requirement: fabric, width, quantity, delivery date, linked order | Verbal or untracked requests |
| 2. RFQ | Same specification sent to multiple suppliers | Quotes that cannot be compared |
| 3. Comparison and Approval | Landed cost, lead time and terms reviewed side by side; approver signs off | Decisions nobody can explain later |
| 4. Purchase Order | Approved quote converts to a PO with no re-entry | Rate and quantity mismatches |
| 5. Goods Receipt | Received quantity recorded against the PO | Short deliveries going unnoticed |
| 6. Invoice Matching and Payment | Invoice checked against PO and GRN before payment | Paying for what you did not order or receive |
Approval rules differ by factory. For how to set them up, see our guide to the manufacturing purchase approval workflow.

Quotes are only comparable if every supplier is asked the same question. A fabric RFQ should state:
An RFQ that leaves these out produces quotes that look comparable and are not.
These three get confused constantly, and buying the wrong one is an expensive mistake.
| Tool Type | Answers the Question | Typical Capabilities |
|---|---|---|
| Fabric Procurement Software | How do we buy it, from whom, and did we pay the right amount? | Requisitions, RFQs, comparison, approvals, POs, GRN, invoice matching, vendor records |
| Marker and Fabric Planning Tools | How much fabric do we need? | Consumption calculation, marker planning, cutting plans |
| Garment ERP / Inventory | What do we have, and where is it? | BOM, roll and dye-lot tracking, stock, production planning |
If your pain is quote chaos, PO errors, approval delays or invoice disputes, start with procurement software. Comparing platforms? See our guide to the best procurement software for garment manufacturers. If you also need roll-level stock and style-wise consumption, read our guide to garment inventory management software, and make sure the systems you choose can work together.
| Feature | Ask the Vendor to Show You |
|---|---|
| Purchase Requisitions | A request with fabric spec, quantity, deadline and linked order |
| Multi-Vendor RFQs and Comparison | Three suppliers' quotes side by side, including freight and payment terms |
| Approval Workflow | Your approval hierarchy, with value limits and a recorded decision trail |
| Quotation-to-PO Conversion | An approved quote becoming a PO without retyping |
| Goods Receipt (GRN) | A partial delivery recorded against an open PO |
| Three-Way Invoice Matching | An invoice with a quantity mismatch being flagged before payment |
| Vendor Management | Supplier records, documents and history |
| Procurement Reports | Open POs, pending approvals, invoices awaiting review |
Our procurement software gives garment manufacturers one connected workflow for buying:
Fabric buying before and after
| Step | On Spreadsheets and Email | With Our Procurement Software |
|---|---|---|
| Supplier Quotes | Scattered across inboxes | One RFQ, quotes compared side by side |
| Approval | WhatsApp or verbal | Routed workflow with a decision record |
| Purchase Order | Retyped from the quote | Converted from the approved quotation |
| Receiving | Notes and phone calls | Goods receipt recorded against the PO |
| Invoice Check | Manual, often after payment is due | Matched to PO and receipt before payment |
What our procurement software is, and is not: It is a procurement and procure-to-pay platform. Marker planning, fabric consumption calculation, roll-level stock and dye-lot tracking are separate requirements, so we will tell you plainly in the demo how they fit with the rest of your systems.
Whichever vendor you evaluate, make them run your real scenario:
If a vendor cannot show these on your data, keep looking.
Book a fabric purchasing demo and we will run this exact checklist on your fabric purchases.
Software that manages the purchasing process for fabric: requests, supplier quotations, approvals, purchase orders, goods receipt and invoice matching, so each purchase is traceable from requirement to payment.
Yes, if it supports multi-vendor RFQs and side-by-side comparison. Check that it handles freight, payment terms and delivery dates, not just rate per metre.
No. Procurement software controls purchasing. A garment ERP typically also covers BOM, inventory, roll and dye-lot tracking and production planning.
Usually not. Fabric consumption and marker planning are handled by dedicated planning tools or a garment ERP. Procurement software takes the approved requirement and manages the purchase.
It can flag them. Three-way matching compares the PO, goods receipt and invoice so mismatches are reviewed before payment. People still decide how to resolve them.
Yes, if you buy from multiple suppliers, run multiple orders at once or struggle to explain past purchasing decisions. Those are the signs your spreadsheets have outgrown the job.
Run your own scenario through the demo: quotes, approval, PO, partial delivery and invoice mismatch. Confirm integrations with your accounting or ERP system.
Fabric sourcing is finding and selecting fabric suppliers and materials. Fabric procurement covers the buying process that follows: requests, quotations, approvals, purchase orders, receiving and invoice processing.
Take control of fabric costs with streamlined supplier comparisons, purchase order approvals, goods receipt tracking, and invoice matching. Simplify procurement workflows and improve purchasing visibility across your garment manufacturing business.
The ILO's guide for garment factories notes that materials can account for about two-thirds of total costs in factories that procure their own fabric. That is not a figure for every factory, but it shows why fabric buying needs discipline: every order commits cash before production starts. A connected quote-to-payment workflow helps you catch mismatched POs, short deliveries and unexplained supplier choices earlier.
Book a demo and bring your last three fabric POs.
